Credentialing Service vs. Headway or Alma
The core difference: platforms like Headway, Alma, SonderMind, and Grow Therapy credential you under their group contract and take a percentage of every session you bill through them. A credentialing service gets you credentialed independently — you own your payer contracts and your clients, and you pay a flat service fee instead of an ongoing cut. Both get you seeing insured clients; they differ in what you give up.
How the platform model works
You sign up, the platform credentials you (often quickly), and you see insured clients through their system. They handle billing and pay you a set rate per session — minus their cut, which continues for as long as you use them. It’s fast and low-effort, but you’re billing under their contracts, and the client relationship and payer paneling largely belong to the platform.
How a credentialing service works
A service enrolls you with payers in your own name. You become independently in-network: your contracts, your fee schedules, your clients. You pay a one-time or per-payer service fee, then you bill insurance directly (or have a billing service do it) and keep 100% of what you collect. It takes the normal credentialing time up front, but there’s no ongoing tax on your revenue.
When a platform makes sense
- You want to start seeing insured clients immediately with zero setup.
- You’re testing private practice and don’t want to commit to paneling.
- You value convenience over margin and are fine with a per-session fee.
When a credentialing service makes sense
- You’re building a practice you intend to keep and grow.
- You don’t want to give up a percentage of every session indefinitely.
- You want to own your payer contracts and client relationships.
- You’re a PT, OT, or speech practice — disciplines the big platforms generally don’t serve.
The math that usually decides it
A per-session cut is small on any one session and large over years. Run your expected session volume against the platform’s fee, compare it to a one-time credentialing cost, and the independent route often wins for any practice planning to stick around.
